~The Preparation
Service begins 2 weeks prior to wedding date
Unlimited Correspondence via e-mail and/or phone
Contact Officiant to discuss how ceremony will be conducted
Review of all vendor contracts to ensure services are provided accordingly
Contact vendors with introductory phone call
Produce and e-mail customized itinerary for client, bridal party, and vendors
~Rehearsal Day
Orchestration of processional and recessional (practice the footing (walk), discuss markings, etc)
Review timing of wedding ceremony (readings, music, unity ritual, etc)
Orchestration of reception grand entrance (organize the line-up and practice the entry)
Scout venue for “First Look” location
Receive guestbook, card box, favors (small items) from couple at this time
~ The Main Event (10 hours + following service):
Ceremony & Cocktail Hour
Coordinator will Supervise and represent as your spokesperson on day of main event
Greet bridal party and early family arrival to venue
Oversee ceremony seating set-up with venue
Place guest book, programs and escort cards in appropriate spot
Oversee set-up of pre-ceremony and cocktail hour beverage station with bartender
Greet hair & make-up artists (if not using salon) and escort to bride & bridesmaids quarters
Confirm groom and groomsmen are dressed and ready on time
Greet photographer and videographer, review shot list for family photos and “first look”
Greet Officiant, offer quick walk-thru of ceremony site, review processional and recessional
Confirm placement of wedding bands and marriage license for signing
Ensure floral delivery and oversee set-up of ceremony arrangements
Distribute bouquets and boutonnieres to bridal party
Greet Musicians/DJ and escort to staging area and confirm processional & recessional music
Greet ushers/attendants and inform them when to begin passing out programs
Escort bridal party + family for photos
Escort officiant to bridal couple and gather bridal party and family for marriage license signing
Assistant Coordinator will inform & escort bridal party for ceremony line-up
Cue ceremony musicians to begin processional and recessional music
Escort Guests from Ceremony to Cocktail Hour
Reception
Oversee reception seating set-up with catering captain
Oversee the dressing of tables (linens, china, flatware, glassware) with catering captain
Oversee reception beverage service with bartender and confirm timing of toasts
Ensure floral set-up of reception table centerpieces and other arrangements
Place table numbers on appropriate tables
Receive guest favors and place them in their appropriate spot
Ensure delivery of cake and/or desserts
Confirm cutting knife & server is on cake table
Confirm timing of food service with the catering captain
Inform MC of the seating placement for best man, maid of honor and parents of the bridal couple
Oversee set-up of personal lighting (gobos, pin lights, etc)
Oversee timing of all breaks and meals for vendors throughout the day
Confirm that MC is aware of the announcements that need to be made during reception
Escort Guests from Cocktail Hour to Reception and help locate their dining table
Line-up wedding party for reception grand entrance
Cue DJ/MC, Photographer & Videographer during reception (will notify them throughout the day
of all the special moments to capture)
Confirm parents are seated and make bride & groom aware of upcoming special moments
Encourage guests to be seated during special moments of the reception
Distribute final payment and gratuities to vendors/staff
Pack up personal items and ensure they reach the designated family member’s vehicle

Create & Provide updates of Planning Timeline to stay on schedule of preparation
Contact Officiant to discuss how ceremony will be conducted
Create Ceremony Worksheet for Officiant, Bride and Groom
Includes Research & Assist with booking remaining vendors
Review of all vendor contracts to ensure services are provided accordingly
Contact vendors with introductory phone call
Venue Walk-thru 6 weeks prior to wedding date to discuss floor plan
Communicate with venue to help finalize floor plan
Communicate with catering captain to help finalize reception floor plan and food/beverage stations
Transportation Scheduling for Bride, Groom and Bridal Party
Produce and e-mail customized day-of-wedding itinerary for client, bridal party, and vendors
Coordinator + 2 Assistants for the big day
